Step 1 - Enter Initial Data

The Profile for Shareholder Companies Screen

To Start Up

From the Company Profile form. 

Click the button titled 'Shareholder Companies & Stock Co-owners' in the lower right corner of the form.

The Profile for Shareholder Companies Form

Enter data for companies that own stock or units of ownership in the primary companies that are listed on the Company Profile form. 

Multiple owners of the same stock/units should be entered on the Profile for Company Shareholders form, such as a husband and wife who jointly own the same stock.  If they are associated with the business in other ways as individuals, such as directors, president, secretary, etc. they should be listed separately on the Personnel form and their association with the primary companies should be marked in the company list in the lower left corner of the Personnel form.

 

The nature of their affiliation should be indicated on the Officers and Directors form. 

The information on the Profile for Company Shareholder form is used for the Stock Register and is automatically inserted into documents related to company ownership.  This eliminates the need to enter company data on the Company Profile form where the number of companies is limited by the license that has been purchased.   It also keeps companies that only own stock separate from the primary companies that are being tracked throughout the application.

If companies on the Company Profile form own stock in other companies that are also listed on the Company Profile form, they should not be listed here.  If they are on the Company Profile form they will be listed in the Stock Register as potential buyers and sellers of stock/ownership. 

Creating a New Record

To add a new company shareholder:

Press the New button on the Standard toolbar

 A new record appears on the screen.  '(New Shareholder)' appears as the Company/Multi-Owner name in the top right corner of the form.

Notice that '(New Shareholder)' is in the list at the top left of the form.  Below the list of shareholders is a check list of companies.   These are the primary companies from the Company Profile form.  When a shareholder is selected in the list above the companies that the shareholder is associated with appears in the check list.

Enter information in the textboxes for the selected shareholder's address, phone numbers, etc.

When finished entering data on the right side of the form:

Click the checkboxes next to each company that the selected shareholder company or multi-owner is associated with. 

Saving Data

When you have finished entering data for the first shareholder company:

Press the Save button on the Standard toolbar to save the record. 

Reverting Data

If you want to remove the data you've entered:

Press the Revert button on the Standard toolbar.

It is important to note that the Save and Revert buttons save and revert for all unsaved data.  If you press Revert it will revert to the last time the data was saved so all data entered after the last time the data was saved would be removed from memory and cannot be recovered.  Thus it is a good idea to press the Save button after entering or modifying data for each company shareholder record.

Deleting Data

If you want to delete a record after it has been saved

select the name for the shareholder company or multi-owner in the list of names so the related data appears on the right side of the form, then

press the Delete button on the standard toolbar. 

This will delete related data in the shareholder records table but will not remove data from the Company or Personnel forms and all of their data will remain in the database.

When finished with the first record, continue entering data for additional shareholder companies or multi-owners by clicking the New button on the Standard toolbar and repeating these instructions.

Backup Data

To ensure that data is not lost it's a good idea to back up your data files to a location other than the current application folder.  This can be done by selecting the 'Back-up Data Files.' option under File on the main menu of the Company Profile form.   Backup files can be saved to any location the computer has access to including other computers on a network.

Import Data

To import backup files select the 'Import Data Files.' option under File on the main menu at the top of the Company Profile form.  You are given the opportunity to save current data before importing a backup file which is necessary if you want to retain the current data.  If you do not backup the data it will be lost when importing data.

Import Data from Other Applications

Data can be imported from MS Excel, Lotus 1-2-3, and a number of other applications.  To learn more see' Import from Other Applications' later in this Help file.

Locating Company Shareholder Records

To move through records of shareholder companies you can select names from the list on the left side the form or use the navigation buttons on the standard toolbar. 

To Close The Shareholder Company Form:

     Press the close box (the red box with an X) at the top right of the form.

The Shareholder Company form closes and the Company Profile form reappears.
