Profile
for Shareholder Companies
Purpose:
This form provides for multiple owners
of the same ownership certificate(s) and for companies that are owners of a company
on the Company Profile form. The data
entered here is used only in the Stock Register and related documents.
Overview :Shareholders can consist of those
listed in the Personnel form and the companies in the Company Profile
form. Their names are included in a
pull-down list to select owners on the Stock Register form. But some owners can not be entered in the
Company Profile form or the Personnel form. For example, individuals are listed on the Personnel form but it is
not designed to enter more than one person at a time. Multiple owners of the same stock must be
entered on the Profile for Shareholder Companies form. If shareholders are associated
with the company beyond being a shareholder they must be entered individually
on the Personnel form as well. The number of companies tracked by the
software is limited by the license agreement. Companies that are not tracked but are owners need to be entered on
this form, where the number of entries is not limited.

Company Name Tabs?: The names of
companies that are shareholders
are linked to the companies on the
Company Profile form. In the Stock Register
a company tab can be selected and
the people and companies associated
with the selected company appear
in the pull-down lists so buyers and
sellers of shares/units of ownership
can be selected. This
form needs to be completed before
shares/units can be entered for
stock/unit trades.

Company Data: Basic data for the selected company
including address, phone numbers, etc.

State or International: States can be selected from the
pull-down list or, by clicking the State/Province label, the pull-down list
converts to a standard text box so an international address can be entered.

Close: The close button for this form returns
to the Company Profile form.

Import Data: Data can be imported from MS Excel,
Lotus
1-2-3
and other
applications using this access button.

Name List: The names of all Shareholder Companies and
Multi-owners of the same shares/units are listed here. By selecting one of
the names in the list the data for that shareholder appears.

Company Associations: Each company shareholder name must be
linked to each company the shareholder is associated with. This eliminates the duplication of data, and
reduces the possibility of errors. By clicking
on a shareholder name in the list of names above this list, the Company
Associations list displays the companies the shareholder is associated with. Mark the checkbox for each company that the
shareholder is associated with. When
the shareholders or potential shareholders for the company are referenced,
the selected shareholder’s name will appear in the list.

Notes: Enter any notes that you would like for
the selected shareholder company or multi-owners of the same stock/units.

Adding A Shareholder Company Record: To add a shareholder’s
name use the New button on the Standard. Just replace the New Shareholder label with
the name of the company shareholder or each name of the shareholders who hold
shares jointly. When you add a record,
blank text boxes appear and data can be entered for that shareholder. Links to other tables are automatically
created when a new shareholder record is added to the table.

Deleting
A Shareholder Company Record: Use the Delete button on the Standard Toolbar to remove shareholder
records. When a shareholder’s name is
deleted, all of the links for that shareholder are also deleted. For that reason it’s
highly recommend that you backup your data files before deleting
records.

Modifying A
Shareholder Company Record: It’s relatively
easy to modify company shareholder records. Simply select the shareholder’s name in the list in the top left
corner of the form and change the information in a text boxes on the right or
change the associated companies by marking or unmarking companies in the
company association list. The changes
can be saved by pressing the SAVE button on the Standard toolbar or, if you
want to revert to the data that was last saved, press the REVERT button.
